MDHHS-File Transfer Site Policy Formalized; Hospitals Responsible for Obtaining Information

The Michigan Department of Health and Human Services (MDHHS) recently released a proposed policy to provide updated information regarding the MDHHS-File Transfer application. The policy makes it clear that the MDHHS is not responsible for communications that are not received due to an authorized user’s failure to maintain or provide accurate information. The MHA urges hospitals to ensure that the appropriate staff have access to the MDHHS-File Transfer application and notify their Medicaid auditor of staffing changes that result in the need to update staff access.

The application is available through the State of Michigan MILogin and allows for the secure electronic transfer of files between the MDHHS and Medicaid providers, health plans and other organizations. It is currently used to securely send and receive files such as Medicaid cost report software, filed cost reports, filed reconciliation reports, and claims and encounter data that contain protected health information. This policy formalizes the existing Medical Services Administration policy regarding the file transfer site.

Click to view the full edition.MDHHS program areas that use the MDHHS-File Transfer application limit the number of users to four per organization, and the department recommends that organizations have at least two authorized users. In addition, the MDHHS may require advance notification of the users that will be applying, the type of area they need to access and when user access should be removed.

Hospitals are encouraged to contact Vickie Kunz at the MHA regarding any concerns and to submit comments to the MDHHS by Oct. 23.
